Support starts with understanding the person and the problem.

The work between the big projects

It’s rarely one big problem.
It’s the twenty small interruptions.

A new starter needs access. Someone is waiting on a ticket update. A renewal is approaching, and nobody is sure who owns the tool. None of it belongs at the bottom of an engineer’s to-do list forever.

Build the support role around how your team already works.

A better place for the follow-through.

Your assistant can keep the request moving: gather the missing details, find the right owner, follow the approved process, and tell the person waiting what happens next.

The technical decision still goes to the right specialist. What changes is how much chasing, sorting, and explaining that specialist has to do.

Delegation without the guesswork

Extra hands.
Your standards.

A useful assistant knows what to do, what to document, and when to ask. We shape the role around those boundaries from the start.

Map your first workflow

A practical support handoff

You define

Priorities, approved access, and the decisions that stay with your technical owner.

Your assistant handles

Agreed checklists, ticket follow-ups, records, and routine admin within that scope.

Your team stays informed

A clear activity log, open blockers, and issues escalated with useful context.

No shared admin passwords. No unapproved production changes.

What useful support
looks like all week.

An example working rhythm, adapted to your tools and coverage. The value is in the follow-through, not just a longer list of completed tasks.

Open notebook and working documents

A sample workflow, not a promised schedule or service level.

Start with the queue

Know what is waiting, and why.

Review open requests, confirm priority with your lead, and separate missing information from work that is ready to move. A ticket waiting on a manager should not disappear into the same pile as a technical fault.

Keep people informed

Give the next person a useful update.

Follow up on approved requests and document the response. When a problem needs escalation, include the affected system, business impact, checks already performed, and the person who can make the next decision.

Leave a usable record

Make tomorrow’s repeat question easier.

Turn approved resolutions into draft knowledge base entries. Keep onboarding records and tool inventories current, with a named reviewer for anything that needs technical confirmation.

Close the loop

Review the exceptions, not just the totals.

Bring unresolved requests, repeat issues, overdue approvals, and outdated instructions to your review. Your lead can then decide what to change, what to escalate, and what to delegate next.

A few things
worth asking first.

Good delegation starts with a realistic role. Here is where an IT assistant fits, and where your technical team stays involved.

Compare the support roles ↗
We already have an IT provider. Would this overlap?

It can complement an existing provider when responsibilities are clear. An assistant can collect request details, follow up with users, maintain records, and coordinate the handoff. Your provider still owns the technical work covered by its agreement.

Do we need all our processes documented before starting?

You need a safe starting scope, a person who can answer questions, and approval rules. Your assistant can help turn your existing notes and walkthroughs into draft procedures. A technical owner should review them before they become instructions for live work.

How much access should an assistant receive?

Only the permissions needed for the agreed tasks, through an individual account where possible. Keep administrator rights, financial approvals, and sensitive decisions with the appropriate owner. Review access as the role changes.

Can we start with a single recurring task?

Yes. A focused queue or workflow is often easier to scope and review than a broad “help with IT” role. Share the task frequency, typical exceptions, and tools involved so we can discuss a sensible starting point.

Will this include emergency or overnight support?

Coverage is agreed during planning. Do not assume an assistant role includes 24/7 availability, security incident response, or emergency engineering. We will discuss the hours and escalation arrangements you actually need.

Start with one recurring problem

What keeps landing
back on your desk?

Bring your queue, your tool stack, or a rough task list. We will help you define an assistant role that makes sense.
